NOW HIRING SALES ADMIN & TENANCY COORDINATOR

Arcadia Consulting Vietnam is seeking a responsible and service-minded professional to join us as a Sales Admin & Tenancy Coordinator based in Ho Chi Minh City. This position plays a vital role in ensuring operational excellence across our sales transactions and tenancy management processes. 

KEY RESPONSIBILITIES

1. Sales Administration

  • Prepare, review and process sales contracts, proposals and relevant documentation
  • Coordinate closely with the internal teams to ensure timely execution of transactions
  • Maintain accurate and up-to-date client records, documentation and reporting systems
  • Track sales activities, generate performance reports and support basic data analysis
  • Provide administrative assistance to the Sales team to ensure operational efficiency

2. Tenancy Management

  • Manage tenant communication related to lease agreements, renewals and terminations
  • Schedule and coordinate property inspections, handovers and move-in/move-out processes
  • Prepare tenancy documentation, including leasing contracts and condition reports
  • Monitor rental collections, follow up on overdue payments and maintain accurate payment records
  • Collaborate with the property and maintenance teams to address tenant concerns promptly and professionally

3. Client Service

  • Act as a point of contact for tenants and clients, responding to inquiries with professionalism and care
  • Support the delivery of a positive client and tenant experience through clear communication and timely assistance
  • Offer guidance on routine property-related matters to help tenants navigate processes smoothly

4. Departmental Support

  • Undertake additional duties or project-based work as assigned by the Head of Department
  • Uphold confidentiality, integrity and internal compliance in all tasks

REQUIREMENTS

  • Minimum 1–2 years of experience in sales administration, property management or a related support role
  • Willingness to work flexible hours, including occasional evenings or weekends as operationally required
  • Strong organizational skills with the ability to manage multiple tasks and timelines effectively
  • Self-disciplined to detail, especially in contract handling and reporting
  • Strong interpersonal and communication skills; capable of managing sensitive situations with discretion
  • Proficiency in Microsoft Office; familiarity with CRM or property management software is an advantage
  • Professional demeanor, a sense of responsibility and a commitment to service quality
  • Able to work both independently and collaboratively under time constraints
  • Fluent in Vietnamese and proficient in English
